The Association of Ston(e)y Lake Cottagers (ASLC) is committed to respecting and protecting the personal information of those who participate in our programs or use our facilities.

Data Collection

ASLC collects (or may collect) personal information about the people who:

  • are our members or prospective members;

  • are our employees or prospective employees

  • are our volunteers or prospective volunteers;

  • are on our Board of Directors or are prospective Directors;

  • participate in our programs;

  • make donations;

  • make purchases &/or pre-order items at The Juniper Island Store;

  • submit photos, articles &/or ads to The Islander; 

  • use our website;

  • interact with us on social media, via email or by phone;

  • use the ASLC wifi; or

  • use, or are proximate to, our facilities.

“Personal Information” includes, but is not limited to, personally identifiable information about or related to:

  • your name, email address, telephone number, street address, mailing address, cottage location or other contact or identifying information, such as identifiers of electronic devices you use;

  • how you use our website; 

  • information you provide in registering as a member or for our programs; 

  • information from surveillance cameras that may record use of our docks, buildings, and surrounding grounds; 

  • information about your participation in our programs, for example: notes by our instructors on your activities (or those of your child/children) in our swimming or other instructional programs; and

  • surveys you complete about our programs, emails or other communications we have with you.

Surveillance Cameras

When deemed necessary (for example: following an instance of vandalism; to comply with or enforce insurance requirements; etc.), the ASLC Board reserves the right to install surveillance cameras on our property, without additional notice.

The data from any surveillance cameras will be:

  • stored in encrypted format; 

  • password protected; 

  • deleted after a reasonable period of time (where we are investigating an incident, we may keep particular footage for a longer period of time);

  • used to investigate vandalism, possible criminal activity, non-compliance with ASLC policies, accidents or other safety issues; and

  • is only accessible to ASLC Board directors or employees with an identified need for access, and only following appropriate privacy training.

Cookies and Other Tracking Technologies

We may use a variety of technologies that automatically or passively collect information about how you interact with our websites and electronic communications (“Usage Information”). Usage Information may include: (a) your IP address, which is a unique set of numbers assigned to your computer by your Internet Service Provider (ISP) (which, depending on your ISP, may be a different number every time you connect to the Internet); (b) the type of browser and operating system you use; and (c) other information about your online session, such as the URL you came from to get to our Websites and the date and time you visited our Websites. In addition to using this information from our log files to better understand how our websites and electronic communications are used, we may use this information to troubleshoot technical problems, maintain online safety and security, and if necessary, prohibit or restrict access to our online services.

Data Usage

We do not sell your Personal Information. We may use it to:

  • communicate with you;

  • facilitate communication between members by publishing the annual Members Directory; 

  • provide you with information about our programs and activities; 

  • administer and actively carry out ASLC programs that you are involved with;

  • manage the business and operations of the ASLC;

  • improve or change our programs or operations; 

  • photos and recordings of ASLC activities may be used to highlight achievements and to promote the ASLC and our events (e.g., on the ASLC website, annually in the printed Islander, via email in the newsletters, on social media, etc.);

  • evaluate your suitability for working with us;

  • share with the Stony Lake Heritage Foundation (SLHF), as enrolling for membership in the ASLC automatically enrolls you for membership in the SLHF; and/or

  • comply with any applicable laws, Court orders, or requests of associations we belong to such as the Lifesaving Society.

Use of Third Party Processors and Storage

In order to provide our services to you, we may use third party storage and data processors, including those that enable our communication with you. Some of the third parties may be located outside of Canada. The information that is stored with such parties may be subject to disclosure under the laws of the jurisdiction in which they are stored, including disclosure without any notice to you or the ASLC.

Links and intermediaries

The ASLCmembers.ca website contains links to other sites. Please be aware that the ASLC is not responsible for the privacy practices of these sites. We encourage our website visitors to read the privacy statements of each and every website that collects personally identifiable information. The statement you are reading now applies solely to information collected by the ASLC and this website. However, intermediaries such as internet service providers may make a record of your visit and log information to assist them in operating their businesses. In addition, in the unlikely event of an investigation, a law enforcement agency or other government agency may exercise its legal right to inspect logs of internet service providers.

Breach Notification

In the event that we become aware of unauthorized use, access, disclosure, copying or access to your Personal Information we will promptly notify you in writing, using the contact information on file.

  • learn about what Personal Information we have collected about you; or

  • request that we correct any personal information we have on file about you.

Note that where such requests require extensive research or data processing on our part, the response to such requests may be delayed.

Compliance with Applicable Law

We will comply at all times with applicable law, including, but not limited to: the Personal Information Protection and Electronic Documents Act (PIPEDA), and any other applicable Canadian privacy laws.

Our Commitment to Security

We are committed to maintaining the security of the data you provide to us. We use reasonable organizational, technical, and administrative measures designed to protect your information within our organization. We also seek to use third-party service providers capable of protecting the information they maintain or process for us.

Storage of Information

We will retain your information, including data about your child/children that you have shared with us, only for the time it is required and for the purposes we explained to you.

Policy Change

If we alter our Privacy Policy, any changes will be posted on this page of our website (https://www.aslcmembers.ca/privacy-policy) so that you are always informed of the information we collect about you, how we use it and the circumstances under which we may disclose it.
